Confirm Gemini is enabled by your admin
Workspace Studio depends on Gemini features. An administrator must enable it under Admin Console > Apps > Google Workspace > Workspace Studio. If you're the admin, turn it on; if not, ask yours to enable it for your organizational unit.

Open Workspace Studio
Go to studio.workspace.google.com and sign in with your Workspace account. This is the dedicated home for building and managing your flows — it isn't buried inside Gmail's settings.

Create a new flow triggered by new email
Start a new flow and choose a trigger such as 'when a new email arrives.' You can narrow it to a specific Gmail label or let it act on all incoming mail going forward.

Describe the triage task in plain language
Tell Gemini what you want in everyday words — for example, detect urgency, apply a label, and post a summary to a Chat space. Gemini builds the underlying automation steps from your description.

Add actions: label, draft, summarize
Layer the actions you need: assign a Gmail label, draft a reply for your review, extract invoice details, or post a short summary to a Google Chat channel so your team stays in the loop.

Test and activate
Run a test on a sample email to confirm the labels and summaries land where you expect, then activate the flow. From that point on, new matching emails are triaged automatically.
When a new email arrives in my inbox, analyze it and: (1) detect whether it's urgent and apply the label 'Urgent' if so; (2) categorize it as Invoice, Client, or Internal and apply the matching label; (3) if it's an invoice, extract the amount, due date, and vendor; (4) draft a short reply for my review; (5) post a one-line summary to my team Chat space.
Pro Tips
- Build several narrow flows (one for invoices, one for urgent client mail) rather than one giant flow — they're easier to debug and adjust.
- Use the 'draft a reply' action instead of auto-sending so you keep a human review step before anything leaves your account.
- Pair a scheduled flow with your email triage to post a daily digest summary to Chat each morning.
Warnings & Limitations
- This is a Business/Enterprise feature — Business Starter, Standard, Plus, and Enterprise plans include it, but it requires Gemini features turned on by an admin first.
- Every plan has monthly execution limits. Business Starter is the lowest (around 25 Gmail triggers per month); higher tiers and the AI Expansion/Ultra add-ons unlock more.
- There is no one-click 'auto-triage inbox' button, and flows do not retroactively process your entire existing inbox — they act on new mail or labeled mail going forward.
